Communication skills are crucial to success in life. Without effective communication, a message can turn into a misunderstanding, lead to frustration, or even cause a disaster. Knowing how to express your message concisely is vital.

A recent study published in The International Journal of Business found that the most desirable quality of a new employee is effective communication. As communication skills are essential in all types of business, stepping up your communication skills is more critical than ever before.

Effective communication is essential because it encourages a two-way dialogue, helps you discuss critical issues to find solutions, encourages exchanging helpful information, and engages with the listener. Communicating effectively means that you will gain and hold the person’s attention that you are speaking to, and they will understand and accept your message.  

Some people are just born communicators. We all know that one person who has a natural gift for gab. For many of us, however, effective communication does not come naturally – it is a skill that is learned and gained over time.

The good news is that effective communication can be taught, and it is easy to improve this skill.

Learn to Listen

The first thing you need to understand about effective communication is the importance of listening to what is being said.  

Learning to listen and hear what the other person is saying is vital if you hope to move a conversation forward. Too often, people shift into a ‘fix things’ mentality before fully understanding the issue. Listening will provide you with all the information you need to act and help you clarify anything you may not understand.

Listening will tell you a great deal about the person you are speaking to as well. Messages need to be adapted so that the listener receives them. This is especially important when speaking with someone who sees things differently than you do. Being able to recognize and control your own emotions, along with an understanding of the emotions of others, is essential to active listening.

Understand Your Message

Know what you want to tell others is an essential aspect of effective communication. Knowing what you want to say and why you want to say it can help you stay focused and create clarity in even the most confusing topics.

If you have ever watched a TedTalk, written an essay, or seen someone give a speech, then you can understand the importance of staying on topic. Before you even open your mouth, you need to understand who you are speaking to and what you are aiming to tell them. Consider any barriers you may encounter when sharing your message (e.g., language, culture, beliefs, age, gender, or economic status), and be prepared.

Knowing your target outcome can help you to foresee any obstacles and prepare.

It is Not What you Say, but How

As most people are aware, it is not what you say but how you say it that’s important.

Body language plays a crucial role in communication. The way you stand, the faces you make, your movements, and even your posture can tell people much more than your words.

Being aware of your body language. For example, standing in a relaxed way with your arms naturally at your sides presents you as honest, approachable, and open to conversation. Having your arms crossed over your chest, or having clenched fists, on the other hand, will tell people to stay away. Good posture and an approachable stance will convey a positive message.

Your tone of voice also plays a vital part in expressing your message to others. Keeping your tone calm and friendly makes it much easier for people to understand your words and encourages them to listen. Talking in a way that is cooperative, non-adversarial,  and non-judgemental will make your message much more appealing. Pay close attention to the tone that you use if you hope to send a compelling message.

Be Solution-Oriented

Creating an environment that solves people’s problems is a great way to produce effective communication. Any time you finish speaking and hearing the feedback, consider whether they effectively solve an issue. The aim of every conversation that you will ever have is to ensure that your points are heard, and you have gained a thorough understanding. Even if there is no immediate issue up for discussion, feeling understood and respected goes a long way.

Being solution-oriented means keeping a positive attitude, being open to feedback, and listening to various ideas. It is not necessarily about solving problems but more about being there if they arise – available and ready to strategize.  

Build Your Vocabulary:

The most outstanding speakers in the world often have a large vocabulary. Their word choices are concise, and they are able to choose precisely the word that is required to convey their message in a specific way. Expand your vocabulary by reading and writing more often, and look up any words that you do not understand or use often. Building your language skills can help you develop your effective communication skills and create more adaptive and meaningful conversations.

Prioritize Active Listening

Anyone can stand there and listen to someone talk, but it takes a true leader to hear what is being said. Active listening involves constant feedback and evolves around verbal and non-verbal cues. Nodding your head, using vocal cues to show you are listening, and maintaining eye contact are essential aspects of active listening and effective communication. Practice these skills often to improve the way your message is received.  

Remember, Practice Makes Perfect

When it comes to communication of any kind, it takes time to learn. Just as it took time to learn a language when you were an infant, it will take time to master the skills involved in effective communication. The skills involved in this valuable skill may seem natural or obvious, but they can fall to the wayside unless you actively participate in their use. Find opportunities to practice effective communication to help you improve and watch the way it enhances your message.
